Job Summary

Supporting our VP Enterprise Communications, the Executive Assistant will be responsible for enhancing their leader's effectiveness through day-to-day administrative support, maintaining a complex calendar schedule/travel, providing guidance on communications received or produced, and ensuring confidentiality throughout. This individual will also be a highly visible strategic partner, leaning toward Chief of Staff duties in select meetings; synthesizing information, working on presentations, managing the budget and enabling the VP in prioritization of key take-aways and action items.

What you will do

  • Provide administrative support to VP, Enterprise Communications and the corporate communications team to enhance efficiency and productivity.

  • Maintain VP's calendar by planning and scheduling meetings and conferences, andtravel.

  • Support the VP and direct reports by providing communications research and backgrounders to support strategic communication recommendations.

  • Help support inquiries from company email boxes including media inquiries and alerting the right people to ensure a timely response.

  • Frequently compose and finalize complex correspondence, documents, presentation materials, meeting minutes, reports, and other-formatdocuments.

  • Manage the communication team's budget, invoicing, and vendor onboarding processes.

  • Produce information and reports by collecting and analyzing information, transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text,data, and graphics.

  • Manage team logistics for communications leadership team including calendars for meetings and conferences, including team events, travel, catering, and process expense reports.

  • Provide historical reference by developing and utilizing filing and retrieval systems.

  • Maintain office supplies inventory levels; anticipating needed supplies; evaluating new office products; placing andexpediting orders; verifying receipts of supplies.

  • Maintain professional and technical knowledge by attending educational workshops; reviewing professionalpublications; establishing personal networks; participating in professional societies.

  • Regularly assess team processes and suggest ways to enhance productivity.

  • Provide special project support, as requested, for communications team.

  • *May require support for events and activities in the evenings and during weekends.

Who you are

  • Bachelor's degree or at least 3 years' experience supporting executive leaders.

  • Experienced in managing multiple assignments/projects and conflicting priorities with the pressure of short, demandingdeadlines in a fast-paced environment.

  • Highly organized and strong attention to detail.

  • Ability to work independently and follow complex, multi-step procedures to complete tasks.

  • Basic financial acumen.

  • High degree of proficiency with Microsoft Office Suite (.doc, .ppt, .xls, etc.), Microsoft Teams, Zoom, One-Drive phone systems, and Canva.

  • Maintain confidentiality and diplomacy as required and appropriate.

  • Enjoy working in a team environment and comfortable assisting and standing in for peers and working across levels ofthe organization as needed.

  • High degree of computer proficiency as ~90% of this position's duties require use of a computer.

This role is designated hybrid based out of our Charlotte, NC HQ.
